Terms of Service

1. What this service does

PhotoExact crops, positions and resizes a photo you upload so that it matches the published photo specification of a government issuing authority, and checks the photo against the parts of that specification we can measure automatically. Every specification figure we use is quoted from the issuing authority’s own published page, with the source URL and the date we last checked it shown on the relevant page.

2. What this service does not do

We do not guarantee that your application will be accepted. The issuing authority is the sole judge of whether a photo is acceptable. Our automated checks cover measurable properties such as dimensions, head size, background uniformity and file size. They cannot judge expression, lighting quality, resemblance, whether you are wearing a uniform, or any other matter requiring human assessment. A result of “pass” means your photo satisfied the checks we ran, not that it will be accepted.

We do not digitally alter your photograph where the issuing authority forbids it. Both the U.S. Department of State and HM Passport Office require an unaltered photograph and state that photographs edited with software or AI are unacceptable. Where a specification carries that restriction, we do not replace or repair the background — if your background is not compliant, we tell you to retake the photo. Any third-party service that offers to “change your background” for such an application is offering something the authority has said it will reject.

PhotoExact is an independent service. It is not affiliated with, endorsed by, or connected to any government, government agency, or passport issuing authority.

3. Price and payment

Uploading, checking and previewing are free. A watermarked, reduced-resolution preview is provided at no cost so you can see the result before deciding. Downloading the finished full-resolution file costs US$3.99 per photo.

Payment is processed by Gumroad, Inc. We never receive or store your card details. Your purchase is also subject to Gumroad’s own terms.

The finished file is delivered immediately after payment. Where consumer law gives you a withdrawal or cancellation right for digital content, you consent to immediate delivery and acknowledge that this right ends once the file is made available to you — this does not affect the refund promise in section 4, or any statutory right that cannot be waived.

4. Refunds

If the file you downloaded does not match the specification stated on the product page for your document type, contact us at admin@zyxir.com within 30 days and we will refund you in full. Refunds are issued through Gumroad to your original payment method. Because you can see a full preview of the exact result before paying, we do not otherwise offer refunds for change of mind.

We do not refund on the basis that an application was rejected, since rejection may be caused by factors outside the photograph’s measurable properties — see section 2.

5. Your responsibilities

You must have the right to upload the photograph you submit. Do not upload photographs of other people without their consent, and do not upload photographs of children unless you are their parent or legal guardian. Do not use the service to produce photographs for any fraudulent purpose, including any attempt to misrepresent identity.

6. Availability and liability

The service is provided “as is”. We do not warrant uninterrupted availability. To the maximum extent permitted by applicable law, our total liability arising out of or relating to the service is limited to the amount you paid us for the photograph in question. Nothing in these terms limits liability that cannot be limited under applicable law.

7. Changes

We may update these terms. The version in force is the one published on this page at the time of your purchase, identified by the “last updated” date above.

8. Contact and governing law

PhotoExact is operated by ZYXIR PTE. LTD. Questions: admin@zyxir.com. These terms are governed by the laws of Singapore. If mandatory consumer protection law of the country where you live gives you additional rights or a right to sue in your local courts, nothing in these terms takes that away.
